COVID-19

 

 

 

 

 

Dear Client,

 

As you may be aware, the President of the Republic of South Africa has declared a National Disaster in response to the threat posed by the Coronavirus COVID-19 and as such TMJ has adopted urgent measures to try to contain the spread of the virus. 

 

The safety of our employees, clients, suppliers, visitors and all citizens is our priority and we have therefore instituted the following procedures with immediate effect:

 

  1. All international business travel by office personnel has been stopped. Any essential travel outside of South Africa must be approved by the Chairman.

  2. All non-essential domestic travel has been stopped where reasonably possible.

  3. We have strongly advised our employees against personal travel outside the Republic.

  4. Any employee returning from international travel will be required to self-quarantine for a period of 14 days, working from home, where possible.

  5. Employees will be receiving frequent notices and information regarding the virus and the measures put in place.

  6. All visits to TMJ offices by overseas visitors will be vetted on and considered on a case by case basis.

  7. Alcohol-based hand sanitisers have been placed near all entrances, printer stations, in all departments, consultation rooms and exits and all ablution rooms have the necessary amenities to wash one’s hands thoroughly. All employees and visitors will be requested to make use of these facilities throughout the working day.

  8. Thermometers will be made available at each office to assist with the detection of symptoms should anyone believe that they may not be feeling well.

  9. We have cancelled all company events for the foreseeable future.

  10. Employees have been asked to practise social distancing, to avoid close contact with other persons, and not to hug or shake hands.

  11. We will implement more regular cleaning of door handles and other high touch areas with alcohol-based sanitizers and have instructed our cleaning staff to clean the consultation rooms after each consultation with the prescribed cleaning detergents and alcohol-based sanitizers.

  12. Employees and professionals have been encouraged to utilise our video and tele-conferencing facilities to conduct meetings whenever reasonably possible.

 

Procedures to be followed if any office of Tomlinson Mnguni James Inc. becomes inaccessible:

 

  1. Our ‘Work from Home’ policy contained in a separate policy document will be activated, and all business-critical employees will be asked to work from their homes. All business-critical employees have been provisioned with the necessary equipment to enable this process already.
  2. The signing of documents with clients will be dealt with on an ad-hoc basis and will be case specific depending on whether the client elects to sign their documents at our offices, or to sign their documents at their homes or any other remote location ensuring, at all times, that the safety and well-being of the client and the employee is of priority.
  3. Hygiene and social distancing protocols will be observed at all offices.

 

We will attempt to minimise the disruption to our services as far as possible. If you have any queries, please do not hesitate to contact our offices. It is only with a collective effort that we will be able to assist in containing the spread of the virus.
